Banquet Hall Furniture: How to Equip a Transformable Venue

Stackable chairs, folding tables, floor plan norms — everything you need to know before furnishing a multi-format event space.

A banquet hall is the most demanding furniture specification in the hospitality industry. The same room must function as a morning conference for 80, a wedding dinner for 120, and a standing reception for 200 — often in the same week. Every piece of furniture must either be stackable, foldable or exceptionally light. We have equipped banquet zones at The Kitchen Astana, Holiday Inn Astana and Ziyafet Almaty.

The Core Requirement: Transformability

Fixed heavy furniture in a banquet hall is a design error. Every chair must be stackable (6-8 per stack), weigh under 6 kg, and have stable floor glides that do not scratch parquet or tile. Every table must fold or stack. At The Kitchen Astana we installed stackable chairs weighing 5.2 kg — one staff member repositions the entire 60-seat room in 20 minutes. Folding-leg tables allow the floor to be completely cleared for a dance floor or theatre-style layout.

Banquet Chairs

Four formats cover most requirements: the Chiavari chair (lightweight, elegant, stacks 10-high, the classic for weddings and galas), metal banquet chair with padded seat (the corporate standard, durable and practical), plastic stackable chair (the budget option for conferences and exhibitions), and upholstered banquet armchair (for premium events and gala dinners). Load capacity minimum 120 kg. Floor glides must be stable and non-marking. For weddings: Chiavari in gold, silver, white or black. For corporate events: metal with fabric seat.

Banquet Tables

Three formats: rectangular folding 180×75 cm (the universal format for conferences, banquets and buffets — the most ordered), round 160-180 cm diameter (seats 8-10, the wedding standard), and semicircular (for podiums and head tables). Table top must be laminate chipboard or HPL minimum 18 mm thick — handles the weight of full service settings and cleans easily. Folding steel legs are non-negotiable for a transformable space. At Holiday Inn we specified tables with a double-lock folding mechanism — they do not shift under load, which matters with a fully set banquet table.

Capacity Norms

Banquet hall capacity by format: standing reception — 0.5 sq m per person, seated dinner (round tables) — 1.2-1.5 sq m per person, conference (classroom layout) — 0.8-1.0 sq m per person, theatre style (chairs only) — 0.6-0.8 sq m per person. A 200 sq m hall: 130-160 seated at dinner or up to 250 standing. Factor in storage: stacked tables and chairs require 15-20% of the hall's floor area.

Budget for a 200 sq m / 130-seat Hall

Banquet chairs 150 units (with reserve): 2-5 million Tenge. Rectangular folding tables 20 units: 600,000-1,200,000 Tenge. Round tables 10 units: 500,000-1,200,000 Tenge. Service/buffet tables 5 units: 200,000-500,000 Tenge. Total: 3.3-7.9 million Tenge. The range depends on the event class the hall targets. For 4-5 star hotel banquet facilities, budget toward the upper end.

FAQ: Banquet Hall Furniture

Which chair for a wedding? Chiavari (also called Tiffany) — the wedding classic. Lightweight, beautiful, stacks 10-high. Available in gold, silver, white, black. How long do banquet chairs last? A quality metal banquet chair with correct storage: 10-15 years. An aluminium Chiavari: 10+ years with careful use. Is it better to buy or rent for a banquet hall that runs events weekly? Buy. For a venue running 3+ events per week, ownership becomes economical within 12-18 months versus ongoing rental costs.
